Time the booking off the second flight, never the first
This sounds obvious written down and it is the single most common mistake in the thread. The partner who lands first is the one with time on their hands, so they are the one who writes, and they instinctively pick an hour that suits the day they are having rather than the day the other person is having.
Work backwards instead. Take the scheduled landing of the later flight, add an hour for passport queues and a bag, add forty minutes to reach a central address from Schiphol, and then add an hour on top for the two of you to be in a room together before anyone else knocks on the door. An evening flight landing at eight gives you a sensible start somewhere around eleven, which is an entirely ordinary hour to book here.
Put the landing time in the first message
A booking with a flight underneath it has a moving part, and a declared moving part is a manageable one. Writing that the inbound is due at twenty past eight costs one line and changes how the whole booking is handled: the hour is set with that in mind, and if the flight slips by forty minutes the thread already knows what it is dealing with.
A delay of an hour or so on the evening before is usually absorbed without difficulty, particularly early in the week. A delay that lands after she has already set out is a different matter, and the notice scale on the booking page is what decides it. Write as soon as the board says something has changed, not once you have got to the room.
The afternoon in between
Some guests book the gap and some do not. A solo hour costs half of the couple hour, and the partner who arrives first occasionally uses an afternoon hour for exactly that, on the plain logic that the alternative is pacing a hotel room refreshing a flight tracker. It is an ordinary booking and needs no explanation in the thread.
If you do it, keep it well clear of the evening. Book it for two in the afternoon rather than six, so the room is back in order and the day has moved on by the time the second flight is down. And if the evening booking is already confirmed, mention that the afternoon hour belongs to the same visit, because it keeps the two arrangements from being read as one confused one.
Who opens the door, and what the room has to say
On a staggered arrival the answer is not always the person who wrote the messages. Say in the thread which of you will be in the room at the hour, and give the room number even if it was already given, because the partner who checked in is not necessarily the one still holding the key card.
Buildings add their own complications after ten at night. A street door on a code, a lift that will not move without a card, a reception that asks visitors to be collected downstairs, an apartment with a buzzer under a name neither of you recognises. All of that belongs in the thread rather than in a phone call from a doorstep. Arrival is forty to sixty minutes across the centre and none of that window is built for standing outside a locked entrance.
What a late second landing does to the choice of format
It narrows it, sensibly rather than sadly. A partner who has been travelling since morning does not want a format with logistics attached. One therapist at 360 an hour is the more forgiving booking on a staggered arrival. The tired partner can take the second half, or none of it, and the evening still works. If you had your heart set on the pair, put it on the next night and book it while you are both awake enough to enjoy having decided.
If the second flight is cancelled outright
Then the evening is not happening and the sooner that is written down the better. Notice is the only thing that decides what a deposit does: more than twenty-four hours out nothing is kept, inside the last day but before she has left half the deposit is kept, and once she is on her way it stays with the house. If the hour is re-let it comes back in full, and if the loss was smaller than the sum kept, only the smaller amount is kept.
Where the cancellation is something genuinely outside anyone's control, a transport shutdown or an official instruction that stops the journey, the deposit becomes credit held against a date you do not have to name immediately. An airline moving a flight sits on your side of that line, so write early and a move is usually the cleaner answer than a cancellation.
